Candidate details

The Candidate Details page provides a summary of the stages associated with each candidate in a job. You can use this page to quickly see a summary of the candidate's activity within each stage of the job, as well as review their interview responses (when available), evaluator feedback, and perform candidate-related actions such as scheduling live interviews or viewing submitted on-demand stages.

Access Candidate Details

Candidate Details can be opened directly from a job stage candidate list as a side panel, pop-up, or detailed page (depending on your configuration). This lets you review key candidate information (such as their progress, contact information, interview schedule/history, stage status, responses when available, and available actions) without having to search elsewhere in the application.

Basic steps: view a candidate’s details from a stage candidate list

  1. Open the job to Job Summary.
  2. Select the relevant stage to open the stage page (candidate list).
  3. Locate the candidate you want to review.
  4. Select the three-dot (ellipsis) menu on the far right of the candidate’s row.
  5. Select View Candidate Details (wording may vary, such as View candidate details or View details).
  6. Review the candidate’s name and contact information and their progress in the hiring stages.
  7. Close the details view (for example, click the X in the top-right of the panel/pop-up, or select Close at the bottom of the window, depending on your configuration).

Quick steps: view a candidate’s details from Job Summary (stage candidate list)

  1. Open the job to Job Summary.

  2. Select the relevant stage (if stages are shown as tabs/circles) and scroll to the candidate list for that stage.

    • Candidates are often grouped by their current stage in the hiring process (for example, Live Video Interview (Self-Scheduling)).
  3. Locate the candidate:

    • If the list is long, use Narrow By to search for the candidate by name (and other identifiers, depending on your configuration).
  4. Select the three-dot (ellipsis) menu on the far right of the candidate’s row.

  5. In the dropdown menu, select View Candidate Details (wording may vary, such as View candidate details or View details).

The candidate’s details view opens so you can review their information, responses (when available), and progress.

Find and open a specific candidate profile (using Narrow By)

Use this workflow when you know the candidate is already in a specific job stage and you want to quickly locate them and open their profile/details.

  1. In Job Summary, open the relevant stage page (the page that lists candidates in a stage).

  2. On the left-hand side, locate the Narrow By (filter) area.

  3. In the candidate search field, enter the candidate’s name (full or partial). If available in your configuration, you can also search using other identifying information shown in the filter/search area.

  4. Apply the filter:

    • If a search icon (magnifying glass) is shown, select it, or

    • Press Enter (if supported in your browser).

  5. In the filtered results, select the candidate’s name.

  6. The candidate’s profile/details view opens, where you can review their summary, interview responses (when available), and other candidate information.

Open Candidate Details from a stage page (candidate list)

To open Candidate Details for a specific candidate:

  1. In Job Summary, open the relevant stage page (the page that lists candidates in that stage).
  2. (Optional) Use the Narrow by (candidate name) search to find the candidate.
  3. In the candidate’s row, select the action menu (three-dot icon) on the far right.
  4. Select View candidate details (or View details, depending on interview type).
  5. The Candidate Details panel/window opens, where you can review the candidate’s contact information and stage summary, and take additional actions.

Use the Candidate Details panel/window

Within Candidate Details:

  • Review the candidate’s progress, contact information, and interview history.

  • Review interview responses and evaluator comments/feedback when available.

  • To show more information in a section (for example, Reschedule Stage), click the plus (+) icon to expand the section.

  • To exit, close the view (for example, click the X in the top-right corner of the pop-up, or select Close at the bottom of the window, depending on your configuration).

Open Candidate Details from the candidate pipeline list

In some candidate lists, Candidate Details is opened from the candidate name menu.

  1. After navigating to a specific job's candidate pipeline, scroll through the list to find the candidate you want to view.
  2. Hover over the candidate's name and select View Candidate Details from the menu that appears.
  3. The Candidate Details pop-up/panel opens, where you can review the candidate’s contact information and their current stage in the interview process.

Navigate from the Dashboard to a filtered candidate list (then open Candidate Details)

Use this workflow when the goal is to start from the main Dashboard, navigate to a specific job and stage candidate list, and then open a candidate’s details.

  1. From the main Dashboard, use one of the following options (depending on what appears in your configuration):

    • Select the Jobs tab, or

    • Select an interview-type tile such as ON-DEMAND – WEB/VIDEO to open a list of jobs/positions.

  2. Locate the job you want to review and select the job title to open Job Summary.

  3. In Job Summary, find the stage you want to review and open the candidate list:

    • Select View all (if available), or

    • Select the stage tab (for example, Stage 2 Live – Video) to filter the candidates shown for that stage.

  4. In the candidate list, select the candidate’s name (or use the row action menu and select View candidate details) to open Candidate Details.

Tip: Stage names and numbers (for example, “Stage 2”) vary by job.

What you can do in Candidate Details

Depending on the candidate’s current stage and status, Candidate Details can include:

  • Candidate contact information

  • Current interview stage and stage completion date (if applicable)

  • Interview responses and evaluation information (when available)

  • Actions such as Schedule Interview and See Responses

From Candidate Details, you can also access additional options from a menu (for example, the three-dot menu next to the candidate’s name). Common options include:

  • Edit Candidate (update the candidate profile)

  • Candidate Activity (view the candidate’s history)

Review candidate activity monitoring (assessment integrity)

Some assessments include monitoring tools to support assessment integrity. If enabled for your organization and for the specific stage/assessment, Candidate Details can show:

  • Candidate Activity Monitoring (browser focus loss)

  • Candidate Camera Capture (periodic snapshots)

View browser focus loss details

  1. Open Candidate Details for the candidate.
  2. Scroll to the Candidate Activity Monitoring section.
  3. Review Loss of browser focus, which shows how many times the candidate navigated away from the assessment window.
  4. Select View More to open the Browser focus loss pop-up.
  5. Review the detailed log, which can include each focus-loss event along with the related question and duration.
  6. Select Close to return to Candidate Details.

Review camera capture snapshots

Depending on your configuration, camera snapshots may be visible from Candidate Details and/or on the candidate’s interview Review page.

Option A: View snapshots from the Review menu (candidate interview review page)

  1. From the main navigation menu, select Review to open the list of candidates/interviews that are ready for review.
  2. Select the candidate’s name to open their individual interview review page.
  3. On the review page, review the candidate details and the primary interview video/recording (if available).
  4. Scroll to the Candidate Camera Capture section to see a preview of still images taken during the session.
  5. Select View More to open the full gallery of all camera snapshots.

Option B: View snapshots from Candidate Details

  1. In Candidate Details, locate the Candidate Camera Capture section (typically below the activity monitoring section).
  2. Review the snapshots captured during the assessment to help confirm candidate identity and presence.

Note: A focus-loss event can happen for non-integrity reasons (for example, switching tabs to check audio settings or an incoming system notification). Use monitoring data as additional context alongside the candidate’s overall submission.

Mark a candidate as a “No Show”

If a candidate did not attend their scheduled interview, you can mark them as a No Show from the interview’s details.

  1. Navigate to the interview details page for the candidate’s scheduled interview.
  2. In the Location section, find the checkbox labeled <PERSON> as "No Show".
  3. Select the checkbox to mark the candidate as a no-show.
  4. In the confirmation pop-up, click Yes to save the status.

To access this page from Job Summary, you can also select a candidate card from the Stage page in Job Summary.

You can move your mouse over any circle in the bar to view a popup message containing additional information about the candidate's status in that stage.

Action menu

The action menu on Candidate Details allows you to explore Candidate activity and edit candidate details.

2 - Stage information

Indicates the order of the stage in the job flow (for example, Stage 1, Stage 2, etc.), and the stage type.

If multiple interviews are scheduled for a single stage, all scheduled interviews appear within the stage information for that stage. In the example image above, the candidate is scheduled to attend two Live Video interviews for Stage 1.

Stage types

On-demand video/web

Recorded stage candidates complete using their computer or mobile device. You can configure HireVue to ask questions via video, image, text, or audio, and then require that candidates respond using video, audio, text, fill-in-the-blank, or single select/multiple select.

On-demand phone

Recorded audio stage candidates complete using their phone (mobile or landline). You can either add your own audio question, or enter a text question that you want the system to repeat to the candidate. Candidates can then respond with their voice, or by using a telephone keypad to make a single select selection.

On-demand text

Recorded text (SMS) stage candidates complete using text messaging functionality on their cell phone or their web browser, depending on your system configuration. By default, candidates complete on-demand text interviews using their web browser. However, if your system is configured to allow both SMS and web responses, then candidates who:

  • Have a phone number in their candidate profile can choose to participate in on-demand text interviews using either their phone or a web browser.

  • Do not have a phone number in their candidate profile must participate using their web browser.

When using on-demand text interviews, you can configure HireVue to ask questions via text or single select answers.

Live video

Live video interviews conducted with candidates and hiring managers using computers or mobile devices.

Live phone

Live phone interviews conducted with candidates and hiring managers using cell phones and landlines.

In person

Live interviews where candidates and hiring managers meet in-person at a specific location.

3 - Interview task status

Displays information about the current stage, along with links to tasks that are awaiting recruiter intervention. Refer to the numbered links after the example below for more information about this area.

1 - Status message

Indicates the current status of the candidate interview. Available statuses are dependent on whether the stage is for an on-demand stage or a live stage.

On-demand status messages

Invited

Candidate was invited to an on-demand stage but has not yet begun the stage.

Started

Candidate was invited to an on-demand stage and has begun the stage.

Expired

Candidate was invited to an on-demand stage, but that stage is now expired. The candidate did not complete the stage.

Stages expire when either the:

  • Candidate submission deadline is passed, or

  • The stage has expired.

You can configure both of these items in the Candidate experience settings within the stage.

Submitted

Candidate submitted an on-demand video/web stage.

Canceled

Candidate was invited to an on-demand stage that was canceled by the recruiter.

Advanced

Candidate submitted an on-demand stage that successfully met all criteria required to advance. Candidate was advanced to the next stage.

Exempt (on-demand web/video only)

Candidate self-attested they are exempt from the stage and was advanced to the next stage. Includes the date the candidate claimed they are exempt from the stage.

Note: Stage exemptions are a licensed feature and may not be available for your application. For more information about your specific application configuration, contact your system administrator.

Live status messages

Need to schedule

(Manual scheduling only) Candidate was added to the stage, but the recruiter has not yet scheduled their interview.

Canceled

Candidate was added to the stage, but the interview was canceled.

Scheduled

Candidate was added to the stage and their interview was scheduled.

Completed

The live interview is complete. Candidate interviews receive a completed status when the interview is complete or the interview time is passed.

Invited

Candidate has been invited to self-schedule a live interview, but has not yet responded to the request.

Unable to schedule

Recruiter has selected the scheduling option for candidate to self-schedule a live interview, but is unable to schedule due to hiring manager availability. When the hiring manager provides an adequate number of available time slots for the candidate to choose from, the status will update to Invited.

Advanced

Candidate has completed the live interview and successfully met all criteria required to advance. Candidate was advanced to the next stage.

2 - Show or hide interview details

Lets you show or hide actions related to the selected stage. For live stages, you can schedule, reschedule, or cancel stages. You can also view completed stages to provide feedback and take additional actions. For on-demand stages, you can view submitted stages.

3 - Action button

Lets you perform additional actions related to the selected candidate. For live stages, you can schedule, reschedule, or cancel stages. You can also view completed stages to provide feedback and take additional actions. For on-demand stages, you can view submitted stages.

Share
