Create jobs

Before you can invite candidates to on-demand or live interviews, you must first create a job for the requisition you are working to fill. Creating a job is typically the first step in the recruitment process because it defines the role you’re hiring for.

Once you create the job, you can then define and configure stages (for example, an On-Demand – Web/Video stage), customize candidate experience and notifications/emails, add and manage interview questions, invite candidates, and review submitted or completed candidate interviews.

Best practice: To reinforce a consistent experience across similar positions, you should create and use job templates when creating jobs for positions you regularly recruit for. For more information, see Job templates.

Quick steps: Create a new job (basic job details)

Use these steps if you only need the quick workflow to create a job shell (you can add stages and questions after saving).

  1. From the main dashboard, click the Jobs tab in the top navigation to open the jobs dashboard.
  2. On the Jobs page, click the (blue) Create Job button.
  3. On the Create Job / Job Details page, enter the required fields (typically Title and Job Requisition), plus any other required information for your organization.
  4. Complete any other necessary fields, then scroll to the bottom and click Save & Continue.

After you save, you are redirected to the job’s Job Summary page (and in some experiences you may be prompted to add your first stage on an Add Stage page), where you can add interview stages, add candidates, and (for live stages) schedule interviews.

To create a job

  1. Select Jobs on the main Hirevue menu bar.

  2. On the Jobs page, select Create Job.

  3. On the Create Job page, enter the following information:

    Title (Required)

    Name of the job you are adding. Job title is visible to all candidates and to all users selecting this job during stage setup.

    Best Practice: Match this field the job requisition information in your Applicant Tracking System (ATS).

    Job Role (Recommended)

    Common occupational roles you want to associate with the job.

    Note: While Builder is a licensed feature, the Job Role field is visible to all Hirevue users to encourage consistency across requisitions and interview guides. For more information about your specific application configuration, contact your system administrator.

    Job Requisition (Recommended or required, based on your application configuration)

    Client-specific requisition identifier (ID) associated with the job. This value must be unique, and is only visible to Hirevue users.

    Best Practice: Match this field the job requisition information in your Applicant Tracking System (ATS).

    Add Job Description

    Select to add a description of the job. Candidates completing on-demand video interviews can view this description from the "Job description" link in their foyer.

    Location

    The location associated with this job. When you configure a job location, it is visible to candidates on the welcome page of their on-demand web/video interview.

    To add or edit locations, select the gear icon to open the Locations page. Use the Locations page to define and configure locations you want to appear in this list. Locations you define are available to all users for all jobs.

    Account Code

    An open text field you can use to track or report data specific to your organization. Account codes are only visible to HireVue users and are not displayed to candidates.

    External Link

    External link (such as to a website or video) you want to give to candidates interviewing for this job. When you specify external links for a job, the links are visible to candidates on the Welcome page of their on-demand web/video stage (Job Description section).

    Which groups should have access?

    Only appears if groups are configured for your application. If so, then indicates the groups to which you want to assign to the job (at least one group is required).

    Groups are categories defined in your application to help you categorize jobs. For example, groups can be used to classify jobs by business function, regional area, or other attribute. Jobs assigned to a specific group can only be viewed by users who are also assigned to that group. Groups are defined and managed by your Hirevue administrator.

    Language

    Language associated with this job. Selecting a language will result in translated email templates and system-generated SMS messages for any communications associated with this job. Languages are a licensed feature and may not be available for your application. For more information about your specific application configuration, contact your system administrator.

    Note: If AI scored language support is used, the Job Language will determine the candidate's language experience. For more information, see AI scored language support.

  4. Select Save & Continue. The new job opens on the Job Summary page.

End-to-end example: create a job, add an on-demand web/video stage, configure settings, and add candidates

This example shows a complete, common workflow: create the job, add an On-Demand – Web/Video stage, configure candidate-facing settings and reviewer notifications, add questions (from the library or by creating new ones), and then add candidates.

  1. Create the job (see steps above), then open the new job in Job Summary.

  2. Add an on-demand interview stage:

    1. Select Add Interview Stage (or follow the prompt to add your first stage).
      • In some experiences, immediately after saving job details you may see an Add Stage page/prompt.
    2. Under On-Demand, select Web/Video.
    3. A new stage is created (often labeled something like On-Demand – Web/Video or Stage 1).
  3. Configure the candidate experience for the stage:

    1. Open Candidate experience for the stage.
    2. Set candidate options as needed (for example, a stage expiration deadline and automated reminders).
    3. Click Save.

  4. (Optional) Configure reviewer notifications for the stage (on-demand stages):

    1. In the stage settings, open Reviewer options / Reviewer Notifications (label varies by configuration).
    2. Add the email addresses that should be notified when candidates submit interviews.
    3. Click Save (or Save & Close).
  5. (Optional) Review or customize the invitation email:

    1. In the stage settings, open Invitation email (or Review invitation email, depending on stage type and configuration).
    2. Review the current template/content and make edits as needed.
    3. Save your changes.

  6. Add interview questions:

    1. Open Interview Questions for the stage.
    2. Choose how you want to add questions:
      • Add Question to create a new question from scratch, or
      • Add from library (wording varies) to add a question from your organization’s Question Library.
    3. Configure question settings as needed (availability varies by question type and configuration), such as:
      • Response/answer type
      • Response/recording time limits
      • Recording attempts (retakes)
      • Review criteria / review format (for example, scoring choices or other reviewer guidance)
    4. Save, then repeat for each additional question.

  7. Add candidates to the stage:

    1. From the job/stage page, click Add Candidate to Job.
    2. Confirm the correct Stage is selected.
    3. Enter the candidate’s First Name, Last Name, and Email.
    4. To add multiple candidates in a row, use Add Another Candidate (if available).
    5. When finished, click Save & Close (or the final Add button).

Edit a job’s core details (title, requisition ID, location)

After a job is created, you can update its core posting details (for example, the job Title, Requisition ID, or Location) from the job’s main page.

  1. Open the job.
  2. From the main page for the job posting, click the job title displayed at the top of the page.
  3. In the Job Details window/panel, locate the field you want to change (for example, Location).
  4. Make your edits (type a new value or select from the dropdown, if available).
  5. Click Save (or close the window, depending on your experience) to apply your changes.

Optional: Create a job from a job template

If your organization uses job templates, you can create a job from a template to reuse predefined stages and settings.

  1. Navigate to Jobs > Job Templates.
  2. Select the template you want to use.
  3. Click Create Job From Template.
  4. Complete the required fields (for example, Title and Requisition ID).
  5. Click Save & Continue. The new job opens on the Job Summary page.

Optional: Add or edit interview questions in an on-demand stage

After the job is created, you can add or customize interview questions on the job’s on-demand interview stage.

  1. On the job summary page, open the on-demand interview stage you want to configure.
  2. Expand Interview Questions.
  3. Add questions:
    • Click Add Question to create a new question, or
    • Select the option to add a question from library (label varies) to reuse an existing question.
  4. To edit an existing question in the stage, open the question and update what’s available (varies by question type and configuration), such as:
    • Question text
    • Response parameters (for example, time limits and attempts)
    • Review criteria (for example, the scoring/review format shown to reviewers)
  5. Save the question and repeat as needed.

Optional: Create a job using Assessment Builder (and generate an assessment)

If Assessment Builder is enabled for your application, you can use it during job creation to generate a role-based assessment, review recommendations, and then customize the generated content.

  1. From the main dashboard, navigate to the Jobs tab.
  2. Click Create Job.
  3. Start Assessment Builder (wording varies by configuration):
    • Select Use Assessment Builder, or
    • Toggle Using Assessment Builder.
  4. In Role Details, enter the Job Name/Title and search for/select the appropriate Job Role.
  5. If shown/required, select one or more Assigned Groups.
  6. Click Save & continue.
    • If a confirmation pop-up appears, click Confirm & continue.
  7. On the Build Your Assessment page, under Assessment Preferences, configure the assessment:
    • Select the desired Assessment Types (for example: Game Assessments, Questionnaires & Simulations, and On Demand Interview Questions).
    • Confirm the Assessment Languages.
    • Enable or disable AI scoring, as needed.
  8. Click Save & continue.
  9. On the Review Recommendations page, review the suggested competencies/skills and recommended questions.
  10. Click Build the assessment (if shown) to generate the assessment.
  11. After the assessment is generated, the job opens in the job summary view where you can view the assessment.
  12. To customize the generated assessment, go to the Assessment tab and select Edit content.

Summary

You can create a new job from Jobs by selecting Create Job, completing the job details, and selecting Save & Continue. After the job is created, you can proceed to add stages and configure interview settings (including candidate experience, notifications/emails, and questions), and then invite candidates and manage the hiring workflow from Job Summary.
